CKS PTO Board Meeting - May 9, 2018

I. Opening Prayer

Monsignor McDermott started the meeting with Opening Prayer at 5:30 p.m.

II. Approval of April 11, 2018 PTO Meeting Minutes

Minutes added to June 13, 2018 PTO Meeting Agenda.

III. Business

a. VT Lake Monsters – Justin Kelley joined tonight’s meeting.

• CKS night at the ballgame is September 1, 2018 at 6:05 p.m.

• Hoping Monsignor can sing Take Me Out to the Ballgame (as the National Anthem is booked).

• CKS populates all field events with students; approximately eight activities. Create SignUp? Who’s throwing the First Pitch?

• Communicate to Parish and School Community VT Lake Monsters event and how to purchase tickets. Monsignor recommended students selling tickets after all masses.

• Justin to provide VT Lake Monsters Flyer for distribution by the end of the week. Justin to provide possible list of SignUp items needed to for event.

b. Silent Auction

• Process Thank You Notes; generate mail merge.

c. Spring Challenge – scheduled date Friday, June 1, 2018

• Committee consists of Jay Nunn, Larry Forcier, Shaun Farley

• Current donations approximately $10,000, plus credit cards.

• Cancel Joey the Clown this year; games will be provided by CKS (Nikki Bearor, Amy Langevin).

• BBQ – Mark Dean will make sure grill is operational. Volunteers needed to cook.

• New T-Shirt design- Converse sneaker with the school mascot on the sneaker. Colors will remain the same for each class. Committee is still collecting sponsors for the back of the shirt.

• Thanks to Monsignor – Fisher Brothers Farm will bring ice cream for dessert.

d. Teacher Appreciation Week – May 21 - 25, 2018

• Wayne created SignUp links for the week.

• PTO to provide bagel breakfast on Monday, May 21.

• Erin to work on clarifying PTO and Teacher Appreciation events/fundraisers.

e. NEASC Visit

• NEASC committee had a wonderful visit and LOVE Christ the King.

• CKS should be receiving a preliminary report in about a week; finalized report in June.

f. 2018 – 2019 SY PTO Board Members

• Prior to June meeting, PTO will contact individuals who may be interested in being a Chair/Co-Chair for PTO events. Additional communication will be needed via newsletter, email, signup, etc., to fill the Chair/Co-Chair positions. Incentives for being a Chair/Co-Chair – volunteer hours and lunch duty fulfilled.

I. Opening Prayer

Monsignor McDermott started the meeting with Opening Prayer at 5:44 p.m.

II. Approval of February 8, 2018 PTO Meeting Minutes

Sage Bernardini moved, seconded by Wayne Braun, to approve meeting minutes of

February 8, 2018. Motion passed unanimously.

III. Business

Teacher Appreciation Week – Moved to May 14 – 18

a. Spring Challenge – Friday, June 1

• Committee consists of Jay Nunn, Larry Forcier, Shaun Farley

• Jon Hughes requested CKS families to update/confirm mailing addresses for the letters the students send; letters should be processed and sent the following week

• Committee is working on Sponsor donations, T-Shirts, Games, and new Entertainment (no Joey the Clown this year)

• Looking for new vendor or family to assist with the Spring Challenge BBQ lunch (usually consists for hamburgers, hotdogs, chips, watermelon, baby carrots)

• Bob Clark (Fisher Brothers Farm) will be bringing ice cream – Courtesy of Monsignor

• Jon Hughes will email committee to request a checklist/timeline of items needed for this event

• Erin Dye will email committee to see what is needed for PTO support

b. NEASC Accreditation

• PTO needs to provide lunch for Monday and Tuesday – No Dietary Restrictions

• Erin, Wayne, and Sage all have a plus one for Tuesday, May 8 1:00 interview with Accreditation Committee. Plus One consist of Tam Vieth, Julia Leach, and Carmen Forcier

• Steering Committee organized Goodie Bags and will delivery bags and snacks

• Sunday, May 6 Dinner catered by the Abbey Group: Appetizers and mingling is from 5:30 – 6:15, followed by dinner. Steering Committee will set up and decorate prior to dinner. Volunteers are need to breakdown tables and clean up. Alumni will be serving.

• Monday, May 7: School Mass will be on Monday instead of Wednesday. PTO needs to provide lunch for 12 people (Accreditation Committee and Student Counsel). Dinner is at Skinny Pancake.

• Tuesday, May 8: PTO needs to provide lunch for 6 people (Accreditation Committee). Accreditation Committee interviews PTO members at 1:00 p.m. Dinner is at New Moon Café. PTO to create SignUp for lunch options

c. 2018 – 2019 SY PTO Board Members

• Erin Dye recommended reorganizing PTO; perhaps eliminating the Treasurer position (although Wayne is perfect for the position); Monsignor McDermott or Jon Hughes can provide the financial piece. Possibly use the open position as a Communication Specialist. This may help aid in getting more volunteers to help with PTO events; understanding what is needed for events, PTO events help in keeping tuition costs down. New role could create a weekly newsletter or blog.

• Recommendation for the need for a committee for each event with no overlap

• Recommendation for the remaining year – Identify Events, Event Chairs, Binder/Google document for each event

• Recommendation to review/update/change current PTO Bylaws – Monsignor to review and make recommendations

• Recommendation – PTO vs Teacher Appreciation Committee - clarify who is doing what? Teacher Appreciation is a separate committee from PTO. Who’s on the Teacher Appreciation Committee?

• Recommendation for Erin Dye, Sage Bernardini, and Wayne Braun to return to PTO for the 2018-2019 SY

d. Cabaret Update

• EVERYONE loved Monsignor as auctioneer on Saturday night and the format!!

• Recommendations - Reduce the number of live auction items; items need to be gibe and provide description. Provide on-line description and possibly on-line bidding.

• Lottery ticket raffle was a great change and should be even better next year, better communication.

• Event needs to be completed by 8:30 each evening

CKS PTO Board Meeting - February 8, 2018

Monsignor McDermott started the meeting with Opening Prayer at 5:44 p.m.

II. Approval of January 3, 2018 PTO Meeting Minutes

Tracey Hughes moved, seconded by Sage Bernardini, to approve meeting minutes of

January 3, 2018. Motion passed unanimously.

III. Treasurer’s Report

Wayne is gathering final numbers. Jon Hughes estimates between $3,000 - $4,000 from Barnes & Noble. Genevieve’s at roughly $2,000 more than last year. No numbers for Cash Calendar; however, Jon thinks revenue is approximately $6,000. 

IV. Public Comment

None.

V. Business

a. Accreditation – PTO assistance needed

NEASC visit is scheduled for May 6 - 9, 2018. NEASC committee consists of six members. PTOs Role in the NEASC Visit:

• To prepare goodie bags for the NEASC team upon their arrival. Possible goodie bag items: CKS key chain (K Laverty), CKS coffee mugs (Msgr McDermott), Snowflake Chocolates, Maple Syrup (Bridgette), Pens/Highlighters.

• To attend reception/dinner and tours at Christ the King on Sunday, May 6 around 5:30.

• To provide lunch for the NEASC members on Monday and Tuesday.

• To provide morning snacks Monday, Tuesday, and Wednesday.

• Meet with NEASC on May 7 or May 8.

b. Cabaret – Next meeting is February 22 at 5:30.

c. Teacher Appreciation – Erin to gather volunteers interested in being on a Teacher Appreciation committee; schedule meeting; schedule events.

Jon Hughes moved, seconded by Sage Bernardini, to approve meeting minutes of

December 13, 2017. Motion passed unanimously.

III. Treasurer’s Report

a. Barnes & Noble – What is next year’s date? Check with Katherine Marsella or Justin Kelley. Possible ideas - to include on Bookmark and newsletter the dates on-line sales continue (date information was on our Facebook page); and make sure we have Chair and Co-Chair for each event.

b. Silent Auction Meeting – Scheduled for January 17 @ 5:30. PTO will draft communication to parents via email, newsletter, classroom parents, and Robo call from Angela encouraging everyone to help solicit items for auction. Erin will contact individuals who helped out last year to see if they have interested in helping again.

c. Accreditation – Tabled to Next Meeting; Ern to contact Tracey to find out what is needed and timeline.

d. Teacher Appreciation – Bridgette received a Teacher Appreciation notebook from Toni Sneddon. Erin to gather volunteers interested in being on a Teacher Appreciation committee.

a. Barnes & Noble – December 16

• Angela - schedule raffle/game show entertainment schedule.

• Gift wrapping table needs a tip jar/basket, Barnes & Noble provides the wrapping paper and space.

• Bridgette- assist signing people up for volunteering.

• Sally - print copies of bookmark on red/green paper.

• Jon - email bookmark.

• Hand out bookmarks at Christmas concert – December 15

b. Accreditation - Tracey request to TABLE until January meeting

c. Christmas Concert - PTO to provide pizza (and gluten free option) and drinks to staff before Christmas concert. Bridgette to coordinate 4:30 pizza delivery. Tracey will provide plates and cups.

d. Cash Calendars - Due December 20. Jon will send out a reminder to return cash calendars by December 20. To date, we have broke even.

e. Cabaret – April 6 and 7

• Bridgette will mentor someone in chairing the event.

• Erin will reach out to others who have helped in the past (Sean K, Jill D, Katie N).

• Jon shared some silent auction items that have already been offered. PTO group offered ideas and other items to be donated.

• Jon will contact auctioneer.

• THANK YOU Notes need to be prepared ahead of time and sent out.

• Possible Marketing Intern to help with event.

• Cabaret Meeting scheduled for January 17, 2018 @ 4:30.

Next PTO meeting is scheduled for January 3, 2018 (not January 10) at 5:30.

October 11, 2017. Motion passed unanimously.

V. Business

a. Hoedown – Erin provided an update. Event was a success; over 200 attended. Erin will provide a checklist of items for event.

b. Genevieve’s - Erin provided an update from Kathryn Marsella regarding Genevieve sales. Current estimate is $16,000 in sales; approximately $8,000 profit. We are still waiting for final invoice. This seems to be a slight increase from last year. Delivery of order is scheduled for Monday, November 20. Students can pick up orders on Tuesday, November 21.

c. Golf Tournament – Katie Nunn provided an update on the event. The event was a success; no final numbers yet. Golf Tournament committee was having a final meeting to wrap up the event. CKS received invoice from Country Club of VT. Profit is approximately $11,000. Recommendations – replace dinner with appetizers, no change in entry fees for event, replace LIVE auction with SILENT auction. Maximum 24-25 teams. Tournament takes approximately 4.5 hours to complete. Kate will provide a checklist of items for the event.

d. Cash Calendar – Kickoff event at CKS drama production – Shrek on November 10 & 11. Tracey Whitney volunteered to run Cash Calendar table at Shrek both nights of the play. Monsignor agreed to PTO selling Cash Calendars after mass on the weekend of December 2 and 3. Wayne Braun to set up volunteer spot for mass times (St. Anthony 4:15; Christ the King 9:00, 11:00, 5:15). Cash Calendars can also be placed in the bulletin (200 only).

Barnes & Noble - Barnes & Noble is December 16. Volunteer needed to set up volunteer spot and get out announcement for volunteers. Barnes & Noble event to include:

• Information table (shifts of 2)

• Gift wrapping table (shifts of 2)

• Volunteers walk around with bookmarks (cannot hand out bookmarks; Ask ME!)

• Cardinal walks around (costume needs repair)

• Champ will be there (Justin Kelley)

• Student play musical instruments

• Barnes & Noble would let students (10ish) carol throughout the store (would be the songs they will be performing at CKS Christmas Concert)

• Story Reading

Miscellaneous notes –

Confirmed that there is no tree sale, bake sale, mini extravaganza at all this year. Need to notify Parish and school communities.

b. Golf Tournament – Great day; a successful event; 20 teams.

c. Hoedown – Mike Williams attended meeting to provide guidance in kitchen duties for the event.

d. Cash Calendar – Kickoff event at CKS drama production – Shrek on November 10 & 11

e. Review of Event – Jon Hughes has requested that each event chair provides an report following the event to include expenses, income, volunteers needed, check list of items needed, contacts, etc.

b. Golf Tournament – Committee consists of Tom O’Keefe, Katie Nunn, and Andy Pholen.

Event is September 29, 2017 at 1:00 at the Country Club of VT. Sponsors have been contacted, looking for more teams. Lenny Yordan will be the MC for the event. Dinner will be served in the evening.

c. Hoedown – Committee consists of Erin Dye, Sage Bernardini, and Wayne Braun. Wayne to generate flyer for parish bulletin and Wednesday folder. Committee scheduled next meeting, discussion of games, reviewing supplies, etc.

II. Approval of M Meeting Minutes

Tracey Whitney moved, seconded by Erin Dye, to approve meeting minutes of

July 19, 2017. Motion passed unanimously.

III. Business

a. Golf Tournament – Committee consists of Tom O’Keefe, Katie Nunn, and Andy Pholen.

Tom O’Keefe provided an update to the PTO this evening. Golf Tournament is scheduled for September 29, 2017 at 1:00 at the Country Club of VT. Sponsors have been contacted and teams are signing up. New this year – Cody Chevrolet is sponsoring a hole in one – car giveaway. Committee is looking an MC for the event and hoping to get more students involved. Dinner will be served in the evening.

b. Welcome to new Vice President

Welcome to Sage Bernardini, Vice President, PTO for the 2017-2018 school year. Tracey Whitney read PTO bi-laws for Vice President position.

c. Welcome Back BBQ

This committee consists of Tara and Owen Banks. Food is ordered through Reinhart and Farrell Vending. Looking for volunteers to help with the event, along with some student council representatives. FAQ table and PTO will be set up.

d. Meals for Teacher In-Service

August 29 – Teacher in-service, PTO to provide food, drinks paper products. Set up before 11:00 a.m.
